POSITION: Team Assistant
SALARY RANGE: Per the NCFS Wage Grid

HOURS: 35 hours per week TERM: Full-Time LOCATIONS: New Aiyansh, BC
JOB SUMMARY: The Team Assistant provides clerical, operational and administrative support in order to maintain reports, records and documentation for NCFS case files, administrative files and financial records for the department. The Team Assistant is required to have a good understanding of the professional staff’s requirements, court processes and case management techniques, as well as a good understanding of programs. The Team Assistant is responsible for operating the switchboard, providing reception services, typing, data entry, maintaining manuals and files, processing administrative and financial documents and forms.
DUTIES:
•
Under the direction of NCFS Director, the Team Assistant provides a full range of clerical, operational and administrative assistance to the Director and the NCFS team members;
•
Develop and maintain an efficient filing system and maintain confidential information for the NCFS team;
•
Provide assistance to implement, maintain and update various databases, records and reports for the department;
•
Act as first point of contact providing receptionist services, receiving and directing clients, visitors, telephone calls;
•
Track and direct incoming mail/faxes and acknowledge receipt of correspondence;
•
Generate POs, process invoices, coordinate department time and leave records, obtain authorization for payment;
•
Draft correspondence, communication notices etc. and take/produce meeting minutes as required;
•
Maintain staff sign in/out log, arrange meetings, book travel / accommodation as required and prepare itineraries;
•
Assist with maintaining adequate inventory of stationery and supplies; Other related duties;
EDUCATION/ EXPERIENCE:
•
Grade 12 or GED equivalent required;
•
Post-Secondary education in Business or Administration preferred
•
Minimum of two years of combined clerical, administrative and receptionist experience required
SKILLS/ABILITIES:
•
Good understanding of the NCFS professional staff’s work requirements, court processes, case management techniques, as well as a good understanding of programs integral to the mandate of NCFS;
•
Strong written and verbal communication skills with ability to work effectively with a variety of audiences;
•
Ability to maintain positive client relations under possible adverse or emotional circumstances;
•
Ability to prioritize and manage a workload which often includes multiple competing demands;
•
Dynamic, proven ability to engage others and work in a team environment;
•
Highly organized and structured, with attention to detail;
•
Proficient use of standard Microsoft applications;
•
Must possess a positive, friendly attitude and a strong work ethic;
•
Knowledge of the Nisga’a Treaty an asset;
•
Ability to understand and speak or familiarity with Nisga’a language and culture an asset.
The successful candidate will be required to have/complete/provide:
1. A valid BC Drivers’ license with current drivers’ abstract or able to obtain N designation within a year if no Driver’s license.
