POSITION:                          Administrative Assistant 

SALARY RANGE:                Commensurate with Qualifications and Experience.

SUPERVISOR:                    Museum, Director / Curator  

HOURS:                             35 hours per week            TERM:    Full-time Permanent    LOCATION:  Laxgalts’ap, BC

JOB SUMMARY: Provide administrative and clerical support to the management and staff at the Nisga’a Museum and act as an Executive Assistant for the Nisga’a Museum Director/Curator, as needed. The incumbent will be responsible for front line Museum communications, such as the main phone extension, main email account, social media, website, group bookings and general inquires and will act in a support staff role on the Nisga’a Museum Advisory Committee. The successful candidate will also partake in various different operational requirements at the Museum such as: give tours to visitors/staff the floor during open season, open/close the Museum, staff and assist in the Museum gift shop and assist with all Nisga’a Museum programs/events. This is a multi-faceted role, which will foster skill development not only in the Administrative realm, but also in the heritage/museum field. All training will be provided to the successful candidate to ensure Museum best practices are met. The Nisga’a Museum is looking for a candidate that is willing to ‘wear’ many hats and enjoys working on a small tight-knit team, in a thriving and dynamic work environment. Please note, this is a position which requires flexible working hours and may require evenings and weekends when appropriate. 

DUTIES:

  • Various administrative, clerical, and operational tasks as assigned by and under the direction of the Museum Director/Curator;
  • Budget and financial tracking as required; including generate purchase orders, process invoices, coordinate department time and leave records, obtain authorization for payment;
  • Prepare and organize the Nisga’a Museum Advisory Committee meeting materials and facilities and act as the recording secretary;
  •  Coordinating travel arrangements, scheduling appointments, answering the telephone and museum email, acknowledging receipt of correspondence, receiving and distributing mail, and filing correspondence;
  • Book and maintain records related to public and school programs, and facility rentals;
  • Maintain filing systems and secure confidential/sensitive materials;
  • Assist with maintaining adequate inventory of Nisga’a Museum office, education, and cleaning supplies;
  • Assist with Nisga’a Museum visitors and offer tours as needed; 
  • Assist with Nisga’a Museum events and programs (set down, staffing, clean up etc.) as needed;  
  • Open and close the Museum, including the gift shop/cash register when assigned;
  • Assist with exhibition preparation, installation, fabrication and tear down;   
  • Maintain the Nisga’a Museum marketing and press listing;
  • Update the Nisga’a Museum social media/websites with hours and other important information as required;
  • Other general office duties.

EDUCATION or OCCUPATIONAL CERTIFICATION:

  • Minimum grade 12 or equivalency required;
  • Post-Secondary training as Certified Office Assistant or in Business Administration a serious asset.
  • Familiarity or pervious work with a museum or related cultural organization’s administrative practices is an asset.

EXPERIENCE:

  • Minimum 2 years in related Administrative Assistant position or equivalent required, 5 years preferred.
  • 2 – 3 years of experience with a similar organization is preferred

SKILLS I ABILITIES:

  • Proficient use of standard Microsoft Office applications is required;
  • Demonstrated familiarity and competency with computerized database systems is an asset;
  • Accurate and efficient keyboarding is essential;
  • Excellent planning and organizational skills with attention to detail required;
  • Excellent written, verbal and interpersonal communication skills required;
  • Familiarity with Nisga’a Culture and ability to speak and write the Nisga’a language is an asset.
  • High degree of teamwork with refined people skills is required.
  • External and Internal customer service orientation.
  • Experience within a museum or similar organization is preferred.
  • Ability to prioritize and manage a workload which often includes multiple competing demands;
  • Trainability and a flexible schedule is an asset.

The successful candidate will be required to have/complete/provide:

  1.     A valid BC Drivers’ license with recent drivers’ abstract
  2. Three recent work related references;
  3. The successful candidate will be subject to a criminal record check.
