POSITION: Administrative Assistant – Citizenship Registration Department
SALARY RANGE: Commensurate with Qualifications and Experience
SUPERVISOR: Citizenship Registry Manager
HOURS: 35 hours per week TERM: Full-time Permanent LOCATION: New Aiyansh, BC
JOB SUMMARY: The Administrative Assistant performs a variety of administrative duties for the Citizenship Registration Department. The position is responsible for maintaining reports, records and correspondence for the Nisga’a Citizenship Registration files, administrative files and financial
records for the department. This individual will adhere to established enrolment and eligibility criteria set out in paragraph 1 of the Eligibility and Enrolment Chapter of the Nisga’a Treaty, while maintaining confidentiality.
RESPONSIBILITIES:

  • Under the direction of the Citizenship Registry Manager, the Administrative Assistant provides a full range of clerical, operational and
    administrative assistance for the Citizenship Registration department;
  • Assists in the establishment and maintenance of the Citizenship Registration Office, including filing systems, communication systems and
    internal systems;
  • Provide assistance to implement, maintain and update various databases, records and reports for the department;
    o Issues Nisga’a Citizenship cards to verified applicants:
  • Coordinates the flow of information, communicates internally and externally to respond to inquiries and clarify details, coordinates meetings,
    prepares and processes documents and information, arranges travel and accommodation, provides project support and maintains office
    equipment and supplies.
  • Responds to requests for information and details tactfully with any concerns via phone and email. Maintains on-going communication with
    Nisga’a Citizens to ensure they are well supported. This requires a commitment to customer service and excellent communication skills.
  • The administrative assistant is generally tech-savvy and provides technical support for webinars, virtual meetings and teleconferences.
    EDUCATION OR OCCUPATIONAL QUALIFICATIONS:
  • Grade 12 or GED equivalent required;
  • Proficient use of standard Microsoft applications (Word, Excel and Access), and other relevant software;
  • Certificate or Diploma in Business Administration with a minimum of 2 years employment in a related capacity preferred; OR Administrative
    Assistant Certificate or Diploma or other relevant post-secondary education experience, with a minimum of 2 years working experience.
    SKILLS/ABILITIES:
  • Good understanding of the citizenship registration and enrolment requirements as defined in the Nisga’a Citizenship Act;
  • Strong written and verbal communication skills with ability to work effectively with a variety of audiences;
  • Ability to prioritize and manage a workload which often includes multiple competing demands;
  • Ability to maintain positive client relations under possible adverse circumstances;
  • Must possess a positive, friendly attitude and a strong work ethic;
  • Must be willing to travel for work purposes;
  • Dynamic, proven ability to engage others and work in a team environment; highly organized and structured, with attention to detail; knowledge of
    iPad and experience resolving technical issues and troubleshooting skills.
  • Knowledge of the Nisga’a Treaty an asset; Ability to understand and speak or familiarity with Nisga’a language and culture an asset.

    The successful candidate will be required to have/complete/provide:
  1. A valid BC Drivers’ license, required;
  2. Three recent work related references;
  3. The successful candidate will be subject to a criminal record check.
