POSITION: Administrative Assistant
SALARY RANGE: Based on qualifications
SUPERVISOR: Director of Communications and Intergovernmental Relations
TERM: Full-time Permanent
LOCATION: New Aiyansh, British Columbia
JOB SUMMARY: Performs administrative and clerical support to the Directorate of Communications and Intergovernmental Relations.
RESPONSIBILITIES:
- The performance of various administrative tasks including:
- All communication activities including telephone, fax, e-mail;
- Screens Director’s telephone calls by making preliminary inquiries to the nature of the call, gathers background information or research as requested and conduct follow-up calls as directed;
- Summarizes contents verbally to the Director;
- Drafts preliminary correspondence, as directed;
- Print newsletters in a booklet format for distribution;
- Scheduling and confirmation of all appointments including meetings and reminds the Director of obligations in advance;
- Receiving and distributing mail while prioritizing urgent mail and flags for follow up;
- Coordination of, and preparation for meetings (agendas, photocopying, facilities, attendees, etc.);
- Maintenance of the physical and electronic filing system including control of confidential materials;
- Creation of correspondence including reports, minutes, photocopies, etc., as required;
- Travel planning/arrangements and ensures that travel advances are processed on time, as required;
- Other general office functions;
2. Assisting with the administration of Purchase Orders, Invoices;
3. Coordinate directorate reporting material required for NLG Executiv by working with the Executive Assistant to the Chief Executive Officer to accomplish this;
4. Provides administrative and other support for special events;
5. Other duties may be assigned;
EDUCATION or OCCUPATIONAL CERTIFICATION:
- Minimum high school diploma;
- Post secondary training in Business Administration an asset.
EXPERIENCE:
- Minimum of 2 years in an administrative assistant position is required;
- Strong Microsoft Word and Excel experience is required;
SKILLS/ABILITIES:
- Excellent written and verbal communication skills;
- Ability to prioritize, organize and manage a workload including concurrent multi-initiatives with changing deadlines;
- Highly organized and structured with clear attention to detail;
- Ability to understand and speak or familiarity with Nisga’a language and culture an asset.

- 3 recent work related references;
